What we collect

Your account details, and the visit data you bring to Owl: the audio you record or upload, any photos, the transcript, and the notes Owl produces from them.

How we use it

We use your visit data to do one job: turn your exam into a SOAP note you review and sign. If you choose to send a Pet Parent Report, we use the relevant details to deliver it. We never sell your data, and your visit content is not used to train AI models — not by Owl, and not by the AI subprocessors that transcribe and draft it (Anthropic doesn't train on commercial API content; we've opted out of AssemblyAI's model-improvement program).

Who processes it

A small set of subprocessors helps run Owl — speech-to-text, note generation, storage, hosting, and email delivery. Each one, and what it touches, is listed on Trust & security.

Recordings & retention

By default, Owl keeps your recording so you can play it back and check the note against its source. You control this: turn keeping off — for your whole account or a single visit — and Owl deletes the recording from storage once the note is generated. Retained recordings are kept until you delete them; there is no automatic time-based expiry. Deleting a recording never changes the note. Full detail is on Trust & security.

Your rights

Your records are yours. You can export your notes anytime, delete any visit's recording from the app, and request deletion of your records or account by emailing hello@owlpov.com.
